Summary:
To manage and process regulatory requirements related to Asset Management reportorial and process standard, supervise outsourced staff responsible for the operation related but not limited to asset management, inventory, minor repair and maintenance, movement and transfer of assets, improvement and upkeep of facility and equipment.
To assist line manager in providing effective administrative support for the daily operation, which include but may not be limited to lockers, lateral, pedestal, receiving of assets, issuance of assets for onboarding associates and retrieval of assets from offboarding associates, and assist on creating and improvement of process and guidelines related to asset management.
To assist in performing department-wide administrative / financial responsibilities such as the processing of purchase orders, request for payment, preparing various reports and trackers (e.g.: weekly and monthly business reports)
General Responsibilities:
1. Maintenance of Building, Facilities, and Equipment
Supervises day-to-day operation of internal and outsourced staff in the maintenance of company building,facilities, and equipment
Ensures Periodic Preventive Maintenance (PPM), complete documentations are carried out correctly as scheduled
Ensures activities are within corporate standards on safety and quality
2. Manage and process Regulatory Compliance with Philippine Economic Zone Authority (PEZA), Bureau of Customs (BOC), Optical Media Board (OMB), National Telecommunication Company (NTC) and others
Prepares documents and permits required by regulatory bodies.
Ensures the documents are complete, submits to the regulatory body and secure approved permits.
Submits a monthly report, scans the documents and saves into an approved repository drive.
3. Manage and process COPSSC equipment and hardware provision to Work From Home (WFH) associates
Receives and reviews the request, monitors the delivery until completion of request.
Reviews monthly reports and saves the necessary documents into the approved repository drive.
4. Coordination with International Courier for Incoming and Outgoing Shipments
Receives and reviews the documents, ensures shipping documents are correct and complete
Coordinates with courier for customs clearance and delivery of package
5. Manage and supervise the daily end to end process of Asset Management from receiving new assets up to disposal.
Supervises the receiving of new and repaired assets from different vendor suppliers
Manages asset tagging, recording, updating the masterlist
Manages Physical Asset Inventory and Reporting in partnership with Finance
Supervises asset deployment, asset movement or transfer, and repair and maintenance
Manages retrieval of assets from offboarded associates, including closure of clearance and asset cost for final pay deduction
Manages and supervises the process of Asset Disposal and ensures the required permits are being met
6. Prepares schedule to ensure 24/7 staff availability for assets
Monitors performance and ensures compliance to Service level agreement (SLAs)
Monitors asset materials and consumables
7. Logistics Support for Event/Activity Set-up as Requested through Workplace Central
Office transfer, set-up and provision of assets
Site wide events/initiative led and supported by WPS
8. Department Administrative / Reporting Responsibilities
Prepares and update weekly and Monthly Asset Management Team (AMT) report
Prepares and update Monthly Business Report
Monitors and updates the department budget tracker to ensure appropriate and efficient spending
Provides assistance in the Deep Cleaning activity
9. May be assigned / rotated across related sub-functions including but not limited to sub-functions within Shared Services
10. Other job related duties that may be assigned from time to time
Basic Qualifications:
Educational Background: College Graduate or with equivalent work experience
Professional Experience: 3 years work experience in related field

Detail-oriented
Ability to take initiative in organizing
Customer-orientation for both internal and external customers
